POSITION DESCRIPTION

 

I.            JOB PURPOSE

 

The Lead Music Production and AV Systems Operator position provides administrative support to the Performing Arts Faculty across the whole school and its various programs and responsibilities and reports to the Head of Whole School Arts on a day-to-day basis.

 

II.            KEY RESULT AREAS/ RESPONSIBILITIES

  1. Provide administrative support to the Head of Whole School Arts, classroom teachers, and peripatetic staff.

  2. Maintain notice boards with current and relevant information.

  3. Liaise with AISM administrative departments, including Property & Maintenance, Purchasing, Finance, ICT, Executive Office, and sub-schools.

  4. Maintain the Performing Arts asset register and coordinate the maintenance, servicing, tuning, and repair of musical instruments and equipment.

  5. Arrange the purchasing of Performing Arts consumables, equipment, and CAPEX items.

  6. Assist staff with filing, photocopying, and the preparation of departmental resources as required.

  7. Coordinate rehearsal, teaching, and Music Academy schedules for music staff, tutors, students, and Performing Arts activities.

  8. Undertake routine administrative tasks as required.

  9. In liaison with the Head of Whole School Arts, oversee the Music Academy and instrumental lesson programme, including:

  • Timetabling for tutors.
  • Recruiting new tutors.
  • Coordinating tutor contracts, Police Check documentation, and HR requirements.
  • Managing tutor salaries and payment information in liaison with Finance.
  • Preparing and managing Music Academy student billing lists for Finance.
  1. Liaise effectively with teachers, parents, students, tutors, and external stakeholders.

  2. Maintain departmental files and records on shared drives.

  3. Facilitate the electronic storage of student work samples and educational resources.

  4. Organise recitals, concerts, examinations, and performances in conjunction with Music Academy tutors, Performing Arts staff, and the Events Coordinator.

  5. Oversee the instrumental hire programme, including:

  • Preparing hire payment lists.
  • Coordinating instrument repairs and replacements.
  1. Assist in the planning, organisation, and delivery of Performing Arts events, concerts, productions, and performances both on and off campus.

  2. Lead the operation and supervision of sound, lighting, and audiovisual systems for assemblies, concerts, examinations, productions, rehearsals, and school events, including:

  • Setting up and supervising staging, microphones, amplification, and technical equipment.
  • Managing AV systems and troubleshooting technical issues.
  • Training and supervising staff and students in the safe and effective use of Performing Arts equipment and digital AV systems.
  1. Set up and operate technical equipment for events and examinations held within and outside the school's performance spaces, including off-site venues.

  2. Provide support for Music software applications used in classrooms and Performing Arts programmes.

  3. Coordinate external music examinations for Music Academy students (e.g., ABRSM, Trinity College London, and other examination boards).

  4. Maintain Performing Arts props, costumes, and storage areas.

  5. Liaise with external contractors and vendors regarding the maintenance, servicing, repair, replacement, and upgrading of Performing Arts facilities, AV systems, and technical equipment.

  6. Source quotations and recommend suitable musical instruments, AV equipment, and Performing Arts resources to meet the school's operational needs.

  7. Manage the Performing Arts departmental budget, including monitoring expenditure, maintaining budget records, and supporting purchasing processes.

  8. Lead the technical crew for school musicals, concerts, and productions by recruiting, mentoring, training, and supervising students in technical theatre, stagecraft, lighting, sound, and backstage operations.

  9. Assist the Head of Whole School Arts, Music teachers, and relevant staff in the day-to-day administration and operation of Music and Performing Arts programmes.

  10. Support the coordination of Year 12 Performing Arts assessments, HSC coursework, performances, and related administrative requirements.

  11. Support classroom learning activities and provide operational assistance across the Performing Arts Faculty as required.

  12. Perform any other duties as directed by the Head of Whole School Arts, Heads of School, or their delegates.

 

III.   JOB SPECIFICATIONS

 

A.     MINIMUM ACADEMIC / PROFESSIONAL QUALIFICATION

1.      Minimum certificate/diploma in a relevant discipline

B.      RELATED EXPERIENCE

1.      Previous working experience in a school would be an added advantage

2.      Experience in performing arts as a practitioner or technician

C.      COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)

1.      Demonstrate high level of interpersonal skills and an ability to communicate effectively with parents, staff and students

2.      Ability to prioritise own work and Departmental workflow priorities

3.      Demonstrate high level ICT skills including:

  • Proficiency in the use of Google Suite and Microsoft Office Applications   to manage email communication, calendar appointments,  tasks and schedules
  • Other software may include the Adobe suite Audacity, and Sibelius 6
  • Proficiency with scanning and manipulating pdf files
