Senior Executive - Faculty Office

JOB PURPOSE

 

The Senior Executive supports day-to-day operations of the faculty / programme(s), organize, and maintain files and records in the system. She also assists in scheduling periodical meetings, coordinate schools’ events and ensure compliance and maintenance academic programmes.   

 

 

KEY RESULT AREAS / RESPONSIBILITIES

 

  1. Administration

 

  • Assist in and ensure the accuracy of system support set up.
  • Confirmation of class list and updating of no-show student’s status.
  • Monitor students’ absenteeism.                                                         
  • Monitor and manage students’ status.                                                                         
  • Handle examination barring and appeal process.                                               
  • Preparation and issuance of letters. 
  • Resource booking, lodging arrangement and transportation for external stakeholders.
  • Administer and assist in students’ transfer application to partner universities and Dual Award Partners.
  • Post announcement in student portal.
  • Support faculty projects.
  • Assist in handling the international partnership collaboration with the faculty.
  • Assist in handling the Postgraduate & Undergraduate programmes for the faculty.
  • Managing all programmes across the faculty/school as determined by your reporting head.
  • External stakeholder’s engagement coordination for partner universities & Industry partners.
  • Preparation of timely and accurate reports, statistics & data management for the faculty/schools.
  • Assist in developing programme guide and continuous improvement process.
  • Assist the faculty during School Programme Committee (SPC), Industry Advisory Panel (IAP), Student-Staff Consultative Committee (SSCC) & disciplinary committee meetings.
  • Organizing faculty/school meetings and minutes writing.
  • Coordinate the administration of external examiners, adjunct & visiting appointments process.
  • Provide academic administration support for internal & external audits.

 

 

  1. Programme related Activities

 

  • Engage and work closely with Taylor’s Culinary Institute (TCI) Programme Director to develop new customized short-course programme based on industry demands.
  • Collaborate with the marketing team to develop strong relationship with the media and the press.
  • Develop all required collaterals for communication and promotion of short courses.
  • Responsible for preparation and presentation of proposals to clients, for conducting required negotiation and for the preparation of contracts.
  • Ensuring constant administrative support to facilitate the execution of sales processes.
  • Prepare projected and actual P&L for all projects and ensure the profitability of all short-courses initiatives.
  • Accounts management, maintaining and tracking clients’ accounts for accurate invoicing and payments.
  • Support the schools in strategizing and planning content for social media posting.
  • Develop a visual identity and harmonize various publication within TCI social media account.
  • Lead the design, writing and editing of all post on social media benchmarking with top competitors and industry players.
  • Design social media campaign for key events and achievements of the institute.
  • Increase the number of followers and viewers and establish strategic partnership with social media influencer

 

Minimum Academic / Professional Qualification

A degree in a relevant discipline or equivalent with a good level of English.
