JOB PURPOSE

 

The Storekeeper is responsible to coordinate and manage the Inventory Management Stock Item and Stock Report for Taylor’s University

and control stock aspects including ad hoc special projects or stock item delivery standard for department request.

 

 

KEY RESULT AREAS / RESPONSIBILITIES

 

  • To develop a SOP that can effectively manage Taylor’s University’s inventory.
  • The SOP concentrate on issuance of parts to Facility & Project technical staff and procedure in purchasing new parts.
  • The inventory is differentiated in TWO categories: -
  • Consumables – Defined as material required to accomplish the repair works e.g. Screws, tube lights, wires, silicone glue, PVC tape etc. Spare Parts – Defined as electrical or mechanical component of any M&E equipment’s or asset. To ensure all administration and procedures meet company standard operating procedures, contractual and ISO requirements.
  • To maximise the building value by implementing proper operating and capital control systems.
  • To minimise energy losses and to ensure safe efficient working of all electrical C&S and mechanical equipment.
  • Assist to ensure that maintenance of vacant properties is carried out in accordance to Engineering Standards and Quality Management System (QMS) procedures.
  • Conduct conditional appraisal of general maintenance related assets.
  • Provide any other facilities management support as required by the institutions within the group.
  • To conduct regular assessment & audit to ensure all facilities / equipment are all well maintained and good working condition.
  • To lead projects and ensure guidelines and quality control standards are met
  • Assist in any other duties which may be assigned by the Vice President of Facilities Management Operations, ESH & security and Administration.

KEY COMPETENCIES

 

3.2 Stock Check and Inventory Reporting

 

3.2.1 Storekeeper will use TOMMS System for stock reporting via email to TUFM on every weekly basis (Every Friday)

 

3.2.2 Storekeeper will physically check the entire stock and compare with the stock level in the TOMMS on the last day of the month.

 

3.2.3 Store-Keeper should have define minimum stock level for each part number and should raise the FMR when the stock level has touch the minimum level. The FMR is given to TUFM for approval and ordering purposes.

 

 

3.3 Stock & Process Auditing

 

3.3.1 Taylor’s University Facilities Manager should perform the Store Audit on First Week Every Month by

 

-     Selecting 10 part numbers and compare the physical quantity versus the quantity in TOMMS.

-     Selecting 10 CWO and compare the parts issuance record on the Hard Copy CWO as in the TOMMS.

JOB SPECIFICATIONS

 

Minimum Qualification

 

  • SPM qualification
  • Related qualification in Facilities Management and Store Management will be an added advantage.

 

Related Experience

 

  • Minimum 5 years of working experience in of Facilities Management and Store Management overseeing large team of skilled ;
  • Related experience in the services industry such as in the hospitality, leisure, healthcare and banking.
  • Knowledge and experience in implementing Engineering Standards.

 

Competencies

 

  • Good interpersonal skills with strong analytical and trouble-shooting capabilities;
  • Able to work independently with minimum supervision;
  • Competent command in both spoken and written English and Bahasa Malaysia; Cantonese and Mandarin would be an added advantage
  • Able to carry out quality control checks and determine root cause of problem.
  • Proficient in Microsoft Office;
  • Good attention to detail;
  • Ability to work on own initiatives and to operate under tight schedules and deadlines;
