Specialist - Publicity and Communication
JOB PURPOSE
The Specialist – Publicity and Communications is responsible for assisting Student Development in planning, organising, coordinating, and implementing strategic communications through activities and initiatives that raises the prominence and visibility of Student Development and its sub-departments, increases students participation in key strategic programmes and activities, achieving strong social media presence and participation in alignment to department’s strategic priorities, and developing a strong culture of students participation in co-curricular activities especially the SHINE Award Programme.
He / She will be actively creating and capturing meaningful activities, events, success, achievement, and milestones that would significantly promote Student Development and its products/services to internal and external stakeholders through all official communication channels. There should be an adequate supply and timely communication of all activities, initiatives, and a compilation of post releases with video/images pertaining to these initiatives in a media bank/ folder that is easily accessible to all.
He / She will also be spearheading the designing of collaterals and items for the purpose of raising awareness and visibility. Materials developed will be used to anchor the promotional and advertising to students and other intended audience.
Marketing, advertising and promotional campaigns, initiatives and activities should be regularly developed in alignment to the core offerings of Student Development for the purpose of engaging and soliciting student’s participation. This includes social media engagements and other necessary medium which connects to the stakeholders better.
He / She must produce an analysis of the communication plans and strategies carried out monthly, provide key findings, and make recommendations to enhance the existing strategies in place.
He / She will also be the official Advisor to oversee the Student Organsiations (SO) in Taylor’s focusing on elevating the quality of SO events on campus. He / She will coach, provide guidance, and ensure Student Leaders are equipped to organise and deliver events and activities on campus.
This role requires a detail-oriented individual who can manage multiple roles simultaneously and work collaboratively with other departments and stakeholders.
KEY RESULT AREAS / RESPONSIBILITIES
- Strategise, create and implement campaign, outreaches, and marketing plan for key Student Development Function & Services
- Have a good and comprehensive product and service knowledge of Student Development as a whole and can articulate these services and products creatively and convincingly to internal and external stakeholders.
- Cover events and activities organised by Student Development and its sub- departments to ensure coverage is immediate and updated on all social media and communication platforms within the Service Level Agreement.
- Develop and implement an annual communication plan/strategy to help drive publicity and promotional initiatives campus wide and externally.
- Strategically map all communication activities according to the Publicity and Promotions matrix and event dates of the activities.
- Create pre and post event content capturing statistics (number of attendees, satisfaction ratings), student testimonials, achievements, milestones and noteworthy information for the purpose of raising awareness via online and offline dissemination through strategic channels. Ensure post event release is up on all agreed upon communication platforms.
- Develop a mechanism where internal and external stakeholders are able to view the activities happening for the month.
- Strategise, create and implement campaign, outreaches, and marketing plan for and marketing plan for the SHINE Award to be positioned as a competitive edge for the Institution
- Work collaboratively with the team to develop and implement a strategic communication plan to establish the SHINE Award programme’s identity, branding and create a culture of strong engagement with previous and current students enrolled with the SHINE Award Programme.
- Advocate, create and connect meaningful and impactful information through campaign activations, roadshows, marketing and promotional activities that will cultivate the programme and enhance meaningful relationships with targeted stakeholders.
- Social Media Postings, Website & Communication Plan
- Take responsibility for the day-to-day activities of the communications function including social media and e-mail engagements within the agreed upon SLA. This includes managing and updating information at Taylor’s Website which is pertaining to Centre for Future Learning & Student Development.
- Proactively create and communicate important and impactful information that seeks to promote the programme to stakeholders. This includes and not limited to pre and posts events engagements.
- Work collaboratively with stakeholders like the Marketing Department, Alumni Relations and Corporate Communications in pushing news to them, updating the media bank and ensuring the events of the department reach the relevant channels.
- Collateral Design
- Design and create computer-based, web-based, or multimedia-based layout, graphics, animation, video, sound and/or content for use in presentations, video productions, multimedia programs, websites, and other electronic media; Work collaboratively with users and project team to review options and training needs.
- Design printed collaterals such as banner, buntings, poster etc.
- Develop layout design and concept; select and secure appropriate illustrative materials to be used.
- Ensure consistency, accuracy and compliance with required standards of web publishing; proofread copy and maintain internal posting of policies, forms, and related data as provided.
- Keep abreast of emerging technologies in new media, particularly design programs such as Illustrator, Photoshop, Acrobat, Dreamweaver, Flash, and so forth.
- Ensure the university and programme’s brand consistency is maintained in all form of collaterals.
- Administrative Function: Documentation & Reporting
- Generate and compile communication and publicity related reports on monthly, quarterly and yearly basis, or as and when required by the Manager. Ensure a detailed analysis report is produced on communication strategies/social media insights and all internal and external postings with key findings and recommendation for improvement to hit monthly/annual targets.
- Conceptualise and develop the Student Development Annual Report which consist of each sub-department where statistics, achievements, testimonials and milestones of each sub-department is reflected.
- Ensure all reports and post reports that show department success and milestones are published on all available communication platforms.
- Ensure a collection of write ups, student testimonials and photos are well documented by month and year through a media bank and can be used for any future collaterals/audit purposes.
- Student Organisations (SO)
- The official advisor for approved SO in the University, including providing and coordinating necessary support for organising the events and activities and ensure that relevant information regarding the SHINE Award Programme, the University policies, regulations and procedures related to organising and scheduling of student activities and events are provided.
- Provide guidance to student organisations in planning and coordinating various student activities and events, including coordinating the event infrastructure, as appropriate.
- Serve as a liaison to the university administration: point of contact between the club or society and the university administration, helping to facilitate communication and ensure that the clubs and societies are following university policies and procedures.
- Coach and guide student leaders in student organisations to fulfil their roles and responsibilities. Advocate for SHINE Portal participation to have students’ role, achievement and experiences attested through the SHINE Portal.

JOB SPECIFICATIONS
Minimum Academic/Professional Qualification
Bachelor’s or Master’s Degree in Mass Communications, Public Relations, Journalism, Multimedia Design or any relevant discipline.
Related Experience
At least ten (10) years of working experience, preferably in an educational institution or event management industry with communications, advertising, events management, organising and coordinating activities.
