JOB PURPOSE

The Senior Executive, Sports and Recreation is responsible for advancing a campus culture of health, fitness, wellness, and student engagement through the planning and delivery of diverse sports and recreational programmes. This includes overseeing campus-wide events such as Inter-Faculty Games, Taylor’s Run, Health and Fitness Week and other initiatives, promoting inclusive participation and integrating sports and fitness as a core aspect of student life. The role works closely with cross-functional teams and the SHINE Award framework to align initiatives with the university’s goals for holistic student development. By collecting and analysing participation data and impact insights, the role ensures continuous improvement and strategic relevance in student engagement efforts.

Additionally, the Senior Executive manages day-to-day operations of sports and recreation facilities and coordinates the university’s sports teams. This includes ensuring compliance with safety protocols, managing bookings and logistics, supporting athlete development, and liaising with coaches and departments for smooth tournament participation. The role also serves as an advisor to sports-related student organisations, fostering leadership growth, ensuring event quality, and encouraging SHINE Award participation. With a strong emphasis on safety, service, and student success, this position plays a crucial part in promoting physical activity, teamwork, and school spirit across the university.

KEY RESULT AREAS / RESPONSIBILITIES

1.         Campus-Wide Sports & Wellness Events

  • Plan, execute, and evaluate campus-wide sports and recreational programmes, such as Inter-Faculty Games, Sports & Fitness Week, and Wellness Challenges, promoting inclusive participation and student engagement.
  • Contribute to the development of a culture of active living, where physical activity is promoted as a core component of student well-being. Collaborate with Wellness, Student Development, and SHINE to support holistic health goals across physical, mental, and social dimensions.
  • Collect and report on event participation data, impact stories, and feedback. Use insights to inform future programming and align with institutional goals for student experience and wellness.

2.         Sports and Recreational Facilities Management 

  • Oversee day-to-day operations of assigned sports and recreational facilities, ensuring optimal functionality, user satisfaction, and alignment with health, safety, and service excellence standards set by the university.
  • Conduct regular inspections and collaborate closely with the Facilities Management Department and relevant vendors to ensure spaces, surfaces, and equipment are safe, well-maintained, and meet the needs of students, staff, and visitors.
  • Prepare and submit monthly facility performance reports, detailing usage analytics, maintenance issues, user feedback, and recommendations for space optimisation, accessibility improvements, and potential programming enhancements.
  • Manage the facility booking system, supporting both internal users and external collaborations. Coordinate trained student assistants or supervisors for on-site support, particularly during peak periods, tournaments, and special bookings.
  • Ensure adherence to safety protocols and emergency response guidelines across all sports and recreational facilities. Regularly review safety signage, first-aid availability, and emergency drills in collaboration with the Environment, Health & Safety (EHS) department to maintain a secure environment for all users.

3.         University Sports Teams Coordination 

  • Serve as the Team Manager for designated university sports teams, overseeing athlete registration, tournament submissions, and compliance with league or regulatory requirements.
  • Coordinate all aspects of team logistics for inter-university or external competitions, including match schedules, coaching assignments, travel and accommodation, medical coverage, and gear distribution.
  • Support and monitor ongoing training and development programmes for athletes. Ensure regular, well-structured coaching sessions are conducted in collaboration with appointed sports coaches and trainers.
  • Work closely with student clubs, societies, and the general student body to identify and scout new athletic talent, either through organised tryouts, open applications, or intramural competitions

 

        4.  Advisor to Student Organisations

  • Official Advisory Role
    Serve as the designated advisor to assigned student organisations, ensuring alignment with university policies and promoting leadership and holistic student development.
  • Activity Oversight & Quality Assurance
    Provide guidance in the planning, implementation, and evaluation of student-led events and initiatives, ensuring quality, safety, risk assessment and compliance with institutional standards.
  • Organisational Development
    Support student organisations in strengthening their internal structures, governance, and operational effectiveness, promoting long-term sustainability.
  • Mentorship & Leadership Growth
    Offer consistent mentorship to student leaders, supporting them in conflict resolution, team dynamics, decision-making, and personal leadership development.
  • Documentation & Accountability
    Oversee proper documentation of student organisation activities, including meeting minutes, financial records, and event reports, to ensure transparency and institutional accountability.
  • Event Management Support
    Advise and support student organisations in the end-to-end planning and execution of events, including risk management, logistics coordination, and contingency planning.
    Assist student leaders in setting up event logistics and requirements by liaising with relevant departments such as the Facilities Management Department, Event Management Department, Environment, Health and Safety (EHS) Department, and other necessary units to ensure smooth and compliant event delivery.
  • Collaborative Engagement
    Foster cross-departmental collaboration between student organisations and various university offices to enhance resource-sharing and program impact.
  • Liaison to University Administration
    Act as a bridge between student organisations and university administration, facilitating communication and ensuring adherence to university procedures.
  • Governance & Policy Guidance
    Guide student organisations in understanding and adhering to institutional policies, constitutionally aligned governance, and ethical leadership practices.
  • Leadership Recognition & SHINE Award Support
    Promote participation in the SHINE Award or equivalent student recognition frameworks, encouraging students to document their contributions and reflect on their growth.

5.     SHINE Award Engagement and Support

  • SHINE Award Promotion
    Actively promote student involvement in the SHINE Award by guiding student leaders on how to document their leadership roles, accomplishments, and learning experiences in the SHINE Portal. Support their efforts to gain institutional recognition and foster personal growth through reflective practice.
  • SHINE Reflection Review
    Review and validate assigned student reflections in accordance with the established Service Level Agreement (SLA), ensuring timely and accurate processing within the SHINE system.
  • SHINE Activity Coordination and Enquiry Handling
    Ensure student organisations contribute experiential activities to the SHINE Portal and are equipped with the knowledge to manage related processes. Respond to queries from student leaders regarding SHINE Award eligibility, submission, and portal functionality with clarity and efficiency.

JOB SPECIFICATIONS

Minimum Academic/Professional Qualification
bachelor’s degree in a relevant field such as Sports Science, Sports Psychology and Sports Event Management. A professional certification in sports coaching, fitness and recreational sports will be an added advantage.

Related Experience
A minimum of five (5) years of relevant work experience, preferably within higher education, psychology, student affairs, or sports events management, with additional exposure to customer experience functions. Proven ability to build relationships and collaborate effectively with a wide range of stakeholders. Demonstrated passion for student development, advocacy, and creating a vibrant campus environment.
