Senior Executive - Publicity and Communication

The Senior Executive – Publicity and Communications leads strategic communications for Student Development. This includes planning, organising, coordinating, and implementing activities that enhance visibility and prominence. The role also focuses on increasing student participation in key programs and activities while strengthening social media presence. The role also fosters student involvement in co- curricular activities, particularly the SHINE Award Programme.
He / She will create and capture key events, achievements, and milestones, promoting them through official communication channels to both internal and external stakeholders. Timely updates on initiatives will be ensured, and a media bank with post-event materials will be maintained for easy access.
He / She will also be spearheading the designing of collaterals and items for the purpose of raising awareness and visibility. Marketing and advertising campaigns will be developed to engage students and encourage participation through social media and other effective platforms. Regular analysis of communication strategies will be conducted, with key findings and recommendations provided to improve outreach efforts.
In an advisory capacity to various Student Organisations (SO), this role involves working closely with student leaders to enhance their leadership capabilities and ensure that their activities and programs contribute meaningfully to the campus community. He/ she will support students in executing their projects and advocate for both the professional and personal development of all student leaders. Additionally, this role acts as a liaison between SO and the university administration, ensuring open communication and alignment of students and institutional priorities.
This position requires a detail-oriented and versatile individual who can manage multiple responsibilities and collaborate effectively with various departments and stakeholders.
KEY RESULT AREAS / RESPONSIBILITIES
1. Lead in planning, creating, and executing campaigns, outreach, and marketing for key Student Development functions and services.
Have a good and comprehensive product and service knowledge of Student Development as a whole and can articulate these services and products creatively and convincingly to internal and external stakeholders.
Cover events and activities organised by Student Development and its sub- departments to ensure coverage is immediate and updated on all social media and communication platforms within the Service Level Agreement.
Develop and implement an annual communication plan/strategy to help drive publicity and promotional initiatives campus wide and externally.
Strategically map all communication activities according to the Publicity and Promotions matrix and event dates of the activities.
Create pre and post event content capturing statistics (number of attendees, satisfaction ratings), student testimonials, achievements, milestones and noteworthy information for the purpose of raising awareness via online and offline dissemination through strategic channels. Ensure post event release is up on all agreed upon communication platforms.
Develop a mechanism where internal and external stakeholders are able to view the activities happening for the month.
2. Leading in developing and executing campaigns, outreach, and marketing for the SHINE Award
Work collaboratively with the team to develop and implement a strategic communication plan to establish the SHINE Award programme’ s identity, brand and create a culture of strong engagement with previous and current students enrolled with the SHINE Award Programme.
Advocate, create and connect meaningful and impactful information through campaign activations, roadshows, marketing and promotional activities that will cultivate the programme and enhance meaningful relationships with targeted stakeholders.
3. Social Media Postings, Website & Communication Plan
Take responsibility for the day-to-day activities of the communications function including social media and e-mail engagements within the agreed upon SLA. This includes managing and updating information at Taylor’s Website which is pertaining to Centre for Future Learning & Student Development.
Proactively create and communicate important and impactful information that seeks to promote the programme to stakeholders. This includes and not limited to pre-and- post events engagements.
Work collaboratively with stakeholders like the Marketing Department, Alumni Relations and Corporate Communications in pushing news to them, updating the media bank and ensuring the events of the department reach the relevant channels.
4. Collateral Design
Design and create computer-based, web-based, or multimedia-based layout, graphics, animation, video, sound and/or content for use in presentations, video productions, multimedia programs, websites, and other electronic media; Work collaboratively with users and project team to review options and training needs.
Design printed collaterals such as banner, buntings, poster etc.
Develop layout design and concept; select and secure appropriate illustrative materials to be used.
Ensure consistency, accuracy and compliance with required standards of web publishing; proofread copy and maintain internal posting of policies, forms, and related data as provided.
Keep abreast of emerging technologies in new media, particularly design programs such as Illustrator, Photoshop, Acrobat, Dreamweaver, Flash, and so forth.
Ensure the university and programme’ s brand consistency is maintained in all form of collaterals.
5. Administrative Function: Documentation & Reporting
Generate and compile communication and publicity related reports on a monthly, quarterly and yearly basis, or as and when required by the Manager. Ensure a detailed analysis report is produced on communication strategies/social media insights and all internal and external postings with key findings and recommendations for improvement to hit monthly/annual targets.
Conceptualise and develop the Student Development Annual Report which consists of each sub-department where statistics, achievements, testimonials and milestones of each sub-department is reflected.
Ensure all reports and post reports that show department success and milestones are published on all available communication platforms.
Ensure a collection of write ups, student testimonials and photos are well documented by month and year through a media bank and can be used for any future collaterals/audit purposes.
6. Advisor to Student Organisations (SO)
Official Advisor Role: Serve as the official advisor to various SO, promoting alignment with university regulations and fostering student development.
Oversight of Activities and Events: Guide the planning, execution, and evaluation of student-led activities, events, and campaigns, ensuring quality and compliance with university standards.
Operational Support: Assist SO leadership teams with operational tasks, budgeting, and governance to strengthen organizational effectiveness.
Record Maintenance: Maintain accurate documentation of student organisation activities, including reports, budgets, and event outcomes, to support transparency and accountability.
Mentorship and Conflict Resolution: Offer mentorship to club members and student leaders, providing support in conflict resolution and personal development.
Event Management Support: Ensure effective logistical planning, risk management, and successful delivery of student-led events through oversight and guidance.
Interdepartmental Collaboration: Foster positive working relationships between student organisations and other university departments to enhance cross- functional support.
Liaison to University Administration: Act as the primary point of contact between clubs, societies, and university administration, facilitating communication and ensuring adherence to university policies and procedures.
Policy and Governance: Ensure that all SO operate in compliance with university policies, procedures, and guidelines. Provide support in the interpretation of policies related to student leadership and organisational management.
SHINE Award Advocacy: Encourage participation in the SHINE Award, guiding student leaders in documenting their roles, achievements, and experiences in the SHINE Portal to gain recognition for their contributions and support their leadership growth.
7. Others
Maintain high customer service standards in all aspects of work.
Undertake any other duties that may be assigned by the Manager as and when necessary.
JOB SPECIFICATIONS
Minimum Academic/Professional Qualification
Bachelor’s degree in mass communication, Public Relations, Journalism, Multimedia Design, or a related field.
Related Experience
At least seven (7) years of working experience, preferably in an educational institution or event management industry with communications, advertising, events management, organising and coordinating activities.
