Job Req ID:  5797
Division:  Ancillary & Support Services (ANSS)
Department:  Myriad Programme (40000936)

The School Systems Lead owns the school-systems and digital-platform function of Myriad Education, the holding company overseeing the Lexel International Schools, and is accountable for the reliability, integrity, security, and continuous improvement of the software environment across every Lexel campus. The role owns the Student Information System (PowerSchool) as the system of record, together with the learning, admissions, communications, finance-integration, and reporting platforms that make up the wider school-systems estate, ensuring that every campus operates on accurate data, efficient workflows, and dependable systems.

As the group scales from its first campus at Gamuda Gardens toward a multi-campus network, the School Systems Lead designs and embeds a replicable systems operating model - configuration standards, integrations, data governance, and support - that can be deployed efficiently at each new campus opening. The role owns the integration architecture and data flows that connect the enquiry-to-enrolment journey, student records, billing, learning, and leadership reporting, replacing manual bridging with dependable, documented workflows.

The School Systems Lead is the principal systems partner to the General Manager and a key adviser to campus Principals, Marketing, Admissions, Facilities and Finance. The role provides systems leadership and data-governance standards across campuses while respecting the operational leadership of each Principal, builds local operating capability, and safeguards the student and family data and the continuity and reputation of the Lexel platform as the group grows.

RESPONSIBILITIES
Student Information System (PowerSchool)
Accountable for PowerSchool as the group system of record, and for the accuracy and integrity of the data held within it.
• Own configuration and maintenance of PowerSchool: school calendar, terms, grade levels, student records, attendance, grading, scheduling, and parent/student portals.
• Own grade-level rollover and term set-up, ensuring these are completed correctly and on time ahead of downstream finance and reporting processes.
• Maintain role-based access control, least-privilege permissions, named accounts, and audit-trail integrity across all campuses.

Learning & Curriculum Platforms
Accountable for the reliable operation and integration of the learning platforms that support teaching and assessment.• Administer and integrate the learning environment (Schoology and Google Workspace), including single sign-on and account provisioning.
• Support the curriculum, assessment, and report-card workflow, and evaluate whether a dedicated curriculum-planning layer is required as the group scales its Cambridge provision, in partnership with the Head of Academics who owns academic content.

Admissions, CRM & Enrolment Systems
Accountable for the systems that carry a family from first enquiry through to enrolled student.• Own the technical operation and data quality of Marketing and Admissions in the CRM platform (HubSpot), including capture standards, required fields, and the integrity of the enquiry-to-enrolment pipeline.
• Ensure a clean handover of enrolled-student data from admissions into PowerSchool, eliminating re-keying and reconciliation gaps.

Systems Integration & Data Flow
Accountable for the integrations and data flows that connect the school-systems estate into one coherent environment.• Own or support integrations across PowerSchool, the learning platforms, the admissions/CRM system, communications tooling (e.g. Mailgun), single sign-on (ClassLink), and the finance system (Xero).
• Own the enrolment-to-invoice data flow, ensuring the correct student data reaches Xero to trigger accurate billing and bulk invoicing, and replacing manual bridging sheets with documented, dependable processes.
• Maintain a clear map of systems, data flows, and integration points across the estate.

Reporting, Analytics & Leadership Dashboards
Accountable for turning platform data into reliable reporting for campus and group leadership.• Build and maintain operational reports and dashboards for Principals, the General Manager, and the Boards - enrolment, attendance, retention, and academic monitoring.
• Reduce dependency on manual data consolidation by improving data quality at source and automating recurring reporting where practical.

Data Governance, Cybersecurity & Compliance
Accountable for the security and lawful handling of student, parent, and staff data across the estate.• Enforce access governance (role-based access, least privilege, multi-factor authentication, named accounts) and data-protection controls consistent with the Malaysian PDPA (as amended).
• Maintain backup, incident-response, and change-control disciplines, treating platform and vendor security as a Board-level risk area.
• Ensure no export or download of data without approval, and clear incident-reporting obligations for any exposure or misconfiguration.

Campus Rollout & Scalability
Accountable for a repeatable systems set-up that supports efficient new-campus openings.• Build and maintain a systems launch playbook and pre-intake readiness checklist so each new Lexel campus is configured consistently.
• Lead the systems set-up and readiness for each new campus ahead of launch.

Support, Training, Documentation & Local Capability

Accountable for user adoption, institutional knowledge, and the development of local operating capability.

• Establish helpdesk workflows, issue categories, service levels, escalation paths, and a knowledge base.
• Train academic administration, teaching, admissions, finance, and leadership users, and drive adoption.
• Produce and maintain SOPs, configuration logs, data dictionaries, and user guides so that platform knowledge is not dependent on any single individual.• Identify, train, and progressively develop a Malaysian counterpart, in line with the group’s knowledge-transfer and localisation objectives. This is a core, measured responsibility.

Vendor & Systems Portfolio Management
Accountable for the value, coherence, and cost-discipline of the systems portfolio.• Manage relationships and support arrangements with platform vendors, and advise on build-versus-buy and in-house-versus-outsource decisions.
• Resist customisation that creates long-term technical debt, and keep the estate coherent as it grows.
• Coordinate with external vendors across the full procurement lifecycle - scoping requirements, evaluating options, obtaining and comparing quotations, and making recommendations for approval in line with the group’s procurement and delegation-of-authority thresholds.
• Maintain a central register of all school-systems contracts, licences, and subscriptions, tracking renewal dates, licence counts, and costs, and ensuring renewals are reviewed and actioned ahead of expiry.

Lead renewal negotiations with vendors, challenging cost increases and rationalising unused licences, seat counts, and overlapping tools to keep the systems portfolio cost-disciplined as the group scales.
• Coordinate vendor-led configuration, implementation, data migration, and upgrade work, ensuring solutions are correctly configured to Lexel’s operating model, delivered to schedule, and properly handed over with documentation.
• Manage vendor support arrangements, service levels, and escalations, holding vendors accountable for performance and resolution of issues affecting campuses.• Ensure vendor contracts and onboarding include the necessary data-protection, confidentiality, security, and data-residency terms consistent with the Malaysian PDPA, and that vendor access to student and family data is controlled, justified, and reviewed.

Solutions Innovation & Emerging Needs
Accountable for anticipating unmet needs as the schools evolve, and for evaluating and recommending new solutions that improve teaching, learning, and school operations.• Horizon-scan the education technology landscape and maintain an informed view of solutions that could benefit the Lexel schools as they mature, bringing forward proposals for the team to consider.
• Work with academic and operational leaders to identify unmet needs and assess whether a solution is genuinely warranted as the schools grow into new phases. For example, university and careers counselling platforms, instructional content and library databases, alumni engagement systems, and safeguarding and wellbeing case management.
• Evaluate options and present clear recommendations supported by a business case covering educational benefit, total cost of ownership, integration effort, data-protection implications, and the operational capacity required to sustain the solution.
• Pilot and evaluate new solutions on a small scale before group-wide adoption, and be equally willing to recommend against a purchase where the need does not justify the cost or complexity.

Group Collaboration & Taylor’s Network
Accountable for working effectively with the Group CTO and the wider Taylor’s network so that Lexel benefits from group scale, standards, and shared practice.• Work closely with the Group CTO to align Lexel’s systems architecture, security standards, and technology roadmap with group direction, and to draw on group expertise, licensing scale, and vendor relationships where these benefit Lexel.
• Collaborate with Taylor’s other K-12 schools to share practice, compare approaches, and jointly evolve the use of technology to enhance teaching and learning across the network, rather than solving common problems in isolation.
• Support Lexel’s parent company, TEPL, on mission-critical systems as required, contributing technical expertise to group priorities and escalating risks that could affect group operations.
• Represent Lexel constructively in group technology forums and working groups, balancing group alignment with the distinct needs of an affordable, high-growth school model.

MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION
• Bachelor’s degree in Information Systems, Computer Science, or a related discipline is preferred, recognised PowerSchool or SIS credentials are a plus. Candidates without a formal degree but with a demonstrated track record of platform ownership, sound judgement, and continuous learning on the job will be given equal consideration.• Minimum 8–10 years of experience in school systems, educational technology, or systems administration, including hands-on student information system administration and platform-ownership experience.

RELATED EXPERIENCE
• Demonstrated ability to personally build and own SIS customisations, integrations, and reporting.• Experience integrating a SIS with learning, single-sign-on, communications, and finance systems.
• Experience of data governance, access control, and handling sensitive student and family data.
• Experience documenting systems and training non-technical users and transferring knowledge to local staff.
• Demonstrated record of improving the adoption and effective use of learning technologies by students, parents, and teachers at an international school.
• Experience evaluating, recommending, and implementing new education technology solutions to meet emerging academic or operational needs.
• Familiarity with Malaysian data-protection (PDPA) obligations is an advantage.
• Prior experience in the education
