Manager - University Placement Services

The above position in University Placement Services (UPS) is responsible for counselling, guidance and assistance with applications as well as enrolment for Taylor’s College and Taylor’s University Transfer students seeking to continue their studies at the universities of their choice. He/she must work closely with institutions or organisations to ensure that UPS provides the best possible placement services to all students. In addition, this position is responsible to achieve the desired outcomes and KPls related to placing all students to the universities of their choice.
KEY RESULT AREAS / RESPONSIBILITIES
University Placement — Locally or Overseas
• Create and promote awareness of UPS to all students, parents and stakeholders.
• Provide counselling, advise, guidance and assistance to all students and parents on university options and programmes, application procedures/processes, admission requirements, acceptances, student visas, accommodation, etc.
• Monitor and follow up on outstanding documents for application submission, application status, acceptance of offer, visa status/documents (eg COE, CAS, ATAS, I20 etc), etc
• Track, record and maintain updated students information, correspondences (between students and UPS/UPS and institutions), university choices, applications and enrolments.
Programme Custodian
Liaise with Taylor’s College and A Level Programme Office for students and parents engagement activities/events.
Country Custodian
Responsible for University Placement information and promotional activities/events for UK institutions (UK institutions and UK Foreign Branch Campuses in Malaysia)
• Liaise and coordinate with UPS Marketing staff on the recruitment activities/events for UK institutions such as briefings/talks/presentations/workshops/counselling sessions by UK institutions, guest lectures, etc - in term of date, time, venue, announcement, poster, etc.
• Plan, organise and coordinate annual recruitment activities/events for UK institutions.
• Organise and coordinate mock or actual interviews for students.
• Organise and coordinate personal statements workshops/checking sessions for students.
• Organise and coordinate visa/pre-departure briefing for students.
• Responsible to prepare, amend and update admission/entry requirements; UCAS Schedule, UK Contact Lists, etc. Communicate changes/updates to all UPS staff.
• Conduct half yearly training to UPS staff on UK information, processes/procedures, visa, etc
• Follow up with attendees from promotional activities/events for submission of applications
• Monitor, track and maintain record of applications and enrolments for UK institutions
• Liaising with the Programme Offices for students’ semester/forecast results, IELTS, reference letters/testimonials, etc needed by UK institutions.
• Overseeing the University Placement information and promotional activities/events for Europe students.
• Identify and coach successor(s) as well as putting in place the development plan.
• Responsible for training and development of the subordinate eg, identify competency gaps and training programme needed for the subordinate.
System and Processes
• Ensuring that systems and processes relating to UK institutions such as compliance with the agency agreements, ISO, applications and acceptances, commissions claim, CAS, etc
• Enhance systems and process for UK to support the university placement services to students, parents, stakeholders etc.
Other Matters
• Manage Quality Management System, ISO & Safety and Health matters related to UPS
• Assist in counselling during peak periods such as Open Day, Parents Teacher Meeting etc
• Buddy for a colleague when he/she is away from office.
• Perform any other duties assigned from time to time.
MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION
Diploma / Degree in any field
RELATED EXPERIENCE
A highly motivated professional with at least 5 years of working experience
