The Executive Admissions supports and assists the Assistant Manager/Senior Executive in the administration of the admissions related operational matters of the University and the College, ensuring it follows the policy and procedure set by the institutions. He/she is also responsible in the provision of admission documents to stakeholders in compliance with admissions requirements.

 

RESPONSIBILITIES

  • Process applications within the department’s jurisdiction, including but not limited to offers and acceptances, qualification evaluation and assessment, credit transfer/credit exemption, and conversion of conditional offers, in accordance with approved policies and procedures. This includes ensuring that all updates are accurately tracked and properly recorded.
  • Coordinate the management of new qualifications or related, including ensuring updates are properly tracked and recorded, coordinating related activities among the staff, and providing guidance to maintain accuracy, consistency, and compliance.
  • Maintain an accurate and up to date Qualifications Register of all new qualifications applications previously accessed and accepted by the relevant governance.
  • Support in involving in the developing, implementing, and maintaining effective document control and record-keeping processes to support audit and compliance requirements.
  • Work collaboratively as a team player by maintaining effective communication, mutual support, and guidance among team members to ensure completion of operational tasks.
  • Undertake any other duties that may be assigned from time to time.

 

PERFORMANCE MEASURES

  • Applications are processed within established Service Level Agreement (SLA) timelines, with a high level of accuracy in assessment and decision-making, and with complete, up-to-date records always maintained.
  • Ensure the management of new qualifications or related results activities are coordinated accurately, consistently, and within the required timelines while maintaining compliance with established processes and requirements.
  • Accurate and up-to-date maintenance of the Qualifications Register, ensuring all approved new qualifications or related information are properly recorded.
  • Timely and systematic documentation filing and retrieval in compliance with SLA requirements, ensuring audit readiness at all times.
  • Accuracy and completeness of information and admission documents issued to stakeholders, minimizing errors and rework.
  • Active participation in team activities, demonstrating collaboration and providing support to ensure operational efficiency.
  • Contribution of process improvement ideas to enhance operational effectiveness and service delivery.
  • Effective adoption and application of new processes, systems, or tools with minimal supervision.
  • Full adherence to institutional policies, procedures, and guidelines, with no compliance violations.
  • Proper handling and safeguarding of confidential information in accordance with data protection requirements.

 

MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION

Preferably diploma/bachelor’s degree in any field.

 

RELATED EXPERIENCE

Preferably at least two (2) years of working experience, preferably in the educational industry.
