JOB PURPOSE

To assist the Assistant Manager, Exams & Results Unit / Academic Staff in the smooth running of the exam matter, maintenance of the quality of its services. The AE is also to provide assistance and support in academic matters, including adherence to academic policy, academic record maintenance and database management.The main responsibility will be for the Examinations & Results Unit, and he/she is the staff will be responsible for schools or programmes assigned to him/her.  

KEY RESULT AREAS / RESPONSIBILITIES

  1. Before the examination
    • Prepare the exam listing.
    • Follow up the submission of documents from academic staff before the examination (Exam Materials Requisition form, Exam Conduct form and Exam Question papers).
    • Set up the examination trays for all examinations (count and pack the exam papers and exam answer scripts).
    • Correspondence to partner university staff for exam matters.
    • Prepare checklists and materials to be used.
  2. During the examination
    • Working hours may vary subject to examination period.
    • Ensure the examination hall is in good condition.
    • Invigilation duty (when necessary).
    • Standby at Exams & Results Unit office (for students’ or invigilators called up for medical case, late for examination and any special case).
  3. After the examination
    • Counting answer scripts after the examination and housekeeping the examination tray.
    • Assist in scanning multi-purposes choice answer sheets.
    • Ensure final exam answer scripts are returned, stored and disposed on a timely basis.
    • Prepare minutes for School Board of Examiner’s Meeting.
    • To carry out the simulation of award classification for TU Dual Programmes.
    • Follow up submission and checking results and Examiner report.
    • Compile and prepare the documents (GDR) for BOE meeting.
    • Prepare academic status lists.
  4. Customer service
    • Handle enquiries from students.
    • Preparation of old transcripts upon requests

      Others

    • Preparing the documents and reports required by the MOHE as and when required.
    • Preparing the documents and reports required by Audit purpose as and when required.
    • Undertake any other duties that may be assigned from time to time by the Management of the University.

Minimum Qualifications

    • Degree or equivalent

Related Experience​​​​​​​

    • At least one (1) year of working experience in the same capacity
    • Knowledge of and skills in using computer soft skills
    • Good team player
    • Has a strong sense of responsibility
