JOB PURPOSE
To support the Group Procurement function by managing vendor registration, vendor master data administration, procurement records, and related procurement support activities. The role is responsible for ensuring timely, accurate, and compliant vendor information is maintained in SAP and relevant systems while supporting procurement operations, governance requirements, and stakeholder needs across Taylor’s Group.

KEY RESPONSIBILITIES
• Manage vendor registration, onboarding, and vendor master data maintenance activities, ensuring all required documentation, approvals, and supporting information are complete, accurate, and compliant with established policies and procedures prior to processing in SAP.
• Administer vendor master data creation, updates, and maintenance in SAP, ensuring the accuracy, integrity, and confidentiality of vendor information at all times.
• Review and validate requests for vendor master data changes to ensure all supporting documents, authorizations, and compliance requirements have been satisfactorily fulfilled before implementation.
• Serve as a key liaison with vendors and internal stakeholders on matters relating to vendor registration, data management, and procurement administration, ensuring timely and effective resolution of queries and requests.
• Maintain accurate and audit-ready procurement and vendor records in SAP, SharePoint, and other designated systems in accordance with procurement policies, governance standards, and audit requirements.
• Prepare reports, tracking logs, and supporting documentation to facilitate procurement operations, management reporting, compliance monitoring, and audit requirements.
• Ensure adherence to procurement policies, procedures, governance requirements, and data management standards while maintaining the highest level of professionalism, integrity, and confidentiality.
• Contribute to continuous improvement initiatives, including the adoption of digital solutions, Microsoft applications, procurement technologies, and emerging artificial intelligence (AI) tools to enhance operational effectiveness.
• Provide administrative and operational support to the Group Procurement function and undertake any other duties and responsibilities as may be assigned by Management from time to time.

COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)
• Good understanding of procurement administration and vendor management processes.
• Knowledge of vendor registration and vendor master data management.
• Working knowledge of SAP or other ERP systems.
• Proficient in Microsoft Office applications, particularly Excel, Outlook, and SharePoint.
• Basic understanding of procurement technology, automation tools, AI applications, and digital workplace solutions.
• Knowledge of document control and records management practices.

MINIMUM ACADEMIC / PROFESSIONAL QUALIFICATION
Preferably Bachelor’s Degree in Business Administration, Supply Chain Management, Procurement, Information Management, or a related field.

RELATED EXPERIENCE
• Minimum 2 to 4 years of working experience in procurement administration, procurement operations, vendor management, shared services, or a related function.
• Experience using SAP or other ERP systems is highly desirable.
• Experience managing multiple stakeholders and coordinating cross-functional activities will be an advantage.
