Analyst, Employee Transitions & Compliance

JOB PURPOSE
The Analyst, Employee Transitions & Compliance is responsible for executing expatriate employment processes, onboarding activities, contract administration, and end-to-end exit management. The role ensures data accuracy, regulatory compliance, and a smooth employee experience while supporting continuous improvements to enhance service delivery efficiency.
KEY RESULT AREAS / RESPONSIBILITIES
Expatriate Administration & Compliance
Assist in processing and tracking employment passes, visa renewals, and teaching permit applications.
Ensure expatriate documentation is complete, accurate, and compliant with immigration and regulatory requirements.
Coordinate with relevant authorities and stakeholders for permit approvals and renewals.
Onboarding, Induction & Pre-Employment Management
Facilitate new hire onboarding by ensuring all required documentation, system entries, and pre-employment requirements are completed.
Monitor and update onboarding progress in SAP, ensuring data accuracy and seamless integration with HR systems.
Coordinate onboarding logistics, including induction arrangements, briefing schedules, and administrative preparation.
Ensure timely communication with new hires and relevant departments for smooth onboarding.
Contract Administration (Renewal, Extension, Conversion)
Prepare and process contract renewals, extensions, conversions (e.g., expat to local, fixed term to permanent).
Verify supporting documents, ensure approval workflow completion, and update HR systems accordingly.
Ensure compliance with internal policies and contractual guidelines.
Termination & Exit Management
Manage end-to-end exit administration for all staff.
Conduct verification and documentation checks (e.g., resignation acceptance, contract end, permit cessation).
Coordinate communication and system deactivation across HRIS, email, access systems, and other platforms.
Coordinate with Payroll and relevant stakeholders to ensure accuracy of final salary, benefits entitlement, pro-ration, and statutory deductions.
Manage the full staff clearance process, including asset returns, departmental sign-offs, and compliance checks.
Monitor exit timelines to ensure timely closure of processes.
Statutory & Audit Reporting
Prepare and submit information related to statutory and regulatory requirements to the relevant authorities and stakeholders.
Support internal and external audits by ensuring proper documentation and compliance tracking.
Employee Inquiries & Support
Serve as the first point of contact for expatriates and new hires, addressing onboarding, employment pass and visa renewal, and policy-related inquiries.
Provide timely support for SOFIA-related matters and ensure clear communication in resolving expatriate-related concerns, escalating when necessary.
System Customization & Updates
Support system enhancements by collaborating with HR Technology teams to optimize onboarding and expatriate management processes.
Handle change requests in the HRIS system for continuous process improvements.
Conduct functional testing in HRIS for updates related to employment passes, onboarding workflows, and data synchronization.
Continuous Improvement
Assist in process enhancements and automation initiatives to improve efficiency.
Identify and recommend improvements to streamline expatriate management and onboarding processes.
Record Keeping & Documentation
Maintain organized and secure employee records, ensuring accessibility and confidentiality.
Document HR transactions, changes, and updates for reference and compliance purposes.
JOB SPECIFICATIONS
MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION
Diploma in Human Resources, Business Administration, or a related field.
RELATED EXPERIENCE
Minimum 1 years of experience in HR operations, employee data management, or HRIS administration.
TECHNICAL SKILLS
Strong proficiency in HRIS platforms (e.g., SAP) and employment data governance.
In-depth knowledge of employment regulations, compliance requirements, and HR policies.
