JOB PURPOSE
The Analyst - Employee Lifecycle & Benefits Administration is to provide People services and advise to the stakeholders on People-related matters such as policies, practices and processes, and respond to their enquiries. He/she will be responsible to assist the Lead - Employee Lifecycle & Benefits Administration in managing day-to-day operations, ensuring that the operations team delivers excellent customer services to the stakeholders concerning all operational issues.
KEY RESULT AREAS / RESPONSIBILITIES
- To be well verse with policy, procedure and processes within portfolio.
- Prepare and issue employment-related letters (e.g., confirmation, renewal, transfer, redesignation, change of reporting line, acceptance of resignation, termination, extension of probation, retirement etc.).
- Issue compensation-related letters (e.g., promotion, salary adjustments, bonuses).
- Provide employee verification and non-objection letters (e.g., Visa application, bank, loan, employment-related permits etc,).
- Letters to Various Committees as requested by stakeholders
- Update and send necessary documents/letters to Payroll team for timely processing
- Timely upload all signed letters in SAP system
- Process benefits-related billing (e.g., insurance premium invoices).
- Administer enrollment/changes/termination of employees in insurance programs.
- Respond to routine inquiries on benefits, coverage, or policy details. (via Leena Ai, Email, Team/Whatsapp)
- Liaise with insurance providers for additions/removals and administrative actions.
- Update and maintain special leave types in HR@Taylors (e.g., PhD Leave, Sabbatical).
- Update Replacement Leave upon approval
- Update retired staff leave where applicable
- To issue Staff ID Card & update access code for existing employees as and when required.
- To manage Employee Self-Service Approval on personal data update/employee’s benefits in HR@Taylor’s
- To attend and support all employee queries via email/Teams/Leena AI on general lifecycle/benefits matters.
- Process confirmation and resignation of Non Academic Staff
- Timely update registers, business processes, files and records within portfolio.
- To assist line manager in managing the tardiness of the HR filing room
- To assist the line manager on documentation in HR@Taylor’s and reportings
- To attend to staff queries relating to portfolio
- To answer phone calls within 3 rings
- To reply stakeholder’s emails within two (2) working days.
- Ensure all HR service processes and systems adhere to data privacy, information security, and regulatory compliance standards.
