We are seeking a meticulous and responsible Administrative Assistant to support e-invoicing data management and admissions administrative functions. This role involves handling sensitive data, maintaining accurate records, and coordinating with parents to ensure all required information is complete and up to date.

Key Responsibilities

  • Input and maintain accurate data for e-invoicing, including customer details and required fields such as Tax Identification Number (TIN)
  • Assist in obtaining TIN information for individuals who do not have it, including following up with relevant parties
  • Maintain and update a centralized master sheet to track all required e-invoice data
  • Ensure consistency and accuracy between system records and tracking sheets
  • Update student/parent records including address, contact details, and other relevant information in internal systems and tracking sheets
  • Ensure all records are current, complete, and properly documented
  • Identify and track records with missing TIN information
  • Review physical student files (e.g., IC/Passport copies) to retrieve necessary identification details
  • Contact parents/guardians to:

    • Confirm or obtain TIN-related details (where applicable)
    • Verify current residential address
    • Confirm preferred email address for e-invoice delivery
  • Provide general administrative support to the Admissions team
  • Assist with document organization, data housekeeping, and record maintenance
  • Support admissions-related processes as required

JOB SPECIFICATIONS

MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION

  • SPM leavers  / Diploma in Administrative or similar relevant qualifications. 

 

RELATED EXPERIENCE

  • Minimum 2 years relevant working experience as a Administrative Assistant or equivalent in related field

 

COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)

  • Excellent planning and organising skills 

  • Able to multi task and work under pressure

  • Excellent command of spoken and written English

  • Computer literate in MS Office, MS Excel & MS Power Point with good presentation skills
