Finance Assistant Manager

The Assistant Finance Manager supports the Finance Manager in overseeing the financial operations of the company, ensuring accurate financial reporting, and contributing to the development of strategies to enhance financial performance. The role involves managing day-to- day financial activities, participating in invoicing and credit control, assisting with budgeting, forecasting, and financial analysis, and ensuring compliance with regulatory requirements.

 

KEY RESULT AREAS AND RESPONSIBILITIES

The KRAs below should be aligned with the organization prevailing policies and procedures.

 

  1. Financial Reporting:
    • Prepare monthly, quarterly, and annual financial statements in compliance with regulatory standards.
    • Assist in the preparation of financial reports for management review.
    • Ensure accurate and timely closing of financial records and reports.

 

  1. Invoicing, Record Updating and Reporting
  • Prepare and distribute invoices in accordance with the given timeline and process all adjustments for receivables in the system within the specified deadlines.
  • Assist in reconciling receivables, sales, payables, and bank reconciliation reports, as well as other relevant data when needed.
  • Promptly address customer inquiries related to receivables to ensure clear communication and timely resolution.

 

  1. Credit Control and Collection
  • To follow up with customers on outstanding debts, actively driving the collection process through timely telephone calls and reminder letters in accordance with fee policies and  procedures. Raise suspension and termination letters based on established policies
  • Update eService system within seven days of receiving payments.
  • Ensure activation of the installment plan within three business days and promptly update the instalment payment records and notify customers about the instalment activation.
  • Prepare the periodic aging reporting through analysis, review the accuracy of the aging report, rectify any error and discrepancies

 

  1. Budgeting and Forecasting:
    • Assist in the development of the annual budget and periodic forecasts.
    • Monitor and analyze budget variances, providing insights to management.
    • Support the Finance Manager in the preparation of financial projections.

 

  1. Financial Analysis:
    • Perform financial analysis to support decision-making processes, including profitability analysis, cost analysis, and variance analysis.
    • Provide recommendations to improve financial performance and operational efficiency.
    • Assist in the evaluation of business performance against key financial indicators

 

 

  1. Compliance and Internal Controls:
    • Ensure compliance with all financial regulations, company policies, and internal controls.
    • Assist in the preparation of audit schedules and support the external audit process.
    • Identify and recommend improvements to financial processes and controls.

 

  1. Cash Flow Management:
    • Monitor cash flow and working capital requirements.
    • Assist in the management of accounts payable and receivable.
    • Support treasury functions, including managing bank relationships and optimizing cash management strategies.

 

  1. Team Collaboration and Leadership:
    • Provide guidance and support to junior finance staff.
    • Collaborate with other departments to ensure alignment of financial objectives.
    • Assist in the development and implementation of finance-related training programs.

 

  1. Ad Hoc Projects:
    • Participate in special projects as assigned by the Finance Manager.
    • Provide financial analysis and support for strategic initiatives.

 


JOB REQUIREMENTS

 

MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION

  • Bachelor’s degree in Finance, Accounting, or a related field. A professional accounting qualification (e.g., ACCA, CPA, CIMA) is preferred.

 

RELATED EXPERIENCE

  • Minimum of 5-7 years of experience in finance or accounting, with some experience in a supervisory or management role.

 

 

COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)

  • Strong attention to detail and accuracy.
  • Strong analytical and problem solving skills
  • Proficiency in SAP is preferred but not compulsory, and proficient in Microsoft Excel, MS Word.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
