Executive - Student Finance & Timetabling

This individual is to support the Manager in the smooth and efficient daily operation of the Student Finance and Timetabling Department, particularly in the Exam Scheduling Unit with respect to all administrative functions related to exam timetable, programme timetabling and academic resource allocation. He/she is also to support the Manager in the aspect of student finance related functions as well.


KEY RESULT AREAS / RESPONSIBILITIES                                                                            


1. To assist the Manager in preparation of final, trial, semester and re-sit examination timetable for all programmes including franchised, professional courses and external programmes;

2. To assign invigilators and allocate examination venues for all examination;

3. To assist the Manager in handling of programme fee setup in CMS, generating student e-invoice by identifying the total overpayment student in CMS, verifying accuracy and correctness, converting overpayment to offset to new invoice issued and student will receive net outstanding in their e-invoice;

4. To upload student e-invoice from CMS to student's portal for all active student and student with subject registered;

5. To handle reminders to student with outstanding fee payment; issuing notice of termination; and barring of student portal;

6. To handle Bulk Clearance Process for Completed Module, Graduated, Withdrawn Pre- commencement & Terminated status;

7. To support Campus Central by providing Fee Refund/Fee Transfer information for student application pertaining deferment of semester, deferment of intake, withdrawn and transfer out;

8. To perform Student Termination (Fee Related) status update in CMS;

9. To assist the Manager on the allocation of the Faculty/School’s teaching space, timetabling and resource booking to match the requirements of the central timetable to the academic spaces and facilities available, in a timely manner;

10. To assist in meeting all service level commitments made to internal customers in Taylor’s University as specified in a Service Level Agreement for the department;

11. Coordinate the process of preparing and producing the required timetable across the institution, working together with all the Faculty/School’s timetabling officers;

12. Assist in the resolution of cross Faculty/School’s scheduling issues;

13. In consultation with respective Faculty/School’s timetabling officers, to adjust the draft timetable to accommodate specific requirements and solve scheduling issues;

14. Coordinate the distribution of the draft timetable and the publication of the final timetable;

15. To assist in providing new and updated information to all the Faculty/School staff and related parties on timetabling related matters periodically;

16. Maintain good relations, and effective and timely communication with stakeholders;

17. Undertake any other duties that may be assigned from time to time.





Minimum Qualification

  1.  Bachelor’s degree or its equivalent.
  2.  Minimum two (2) year of administration experience, preferably in an education institution.
