We are looking to employ a People & Culture assistant with outstanding administrative and communication skills. You will be required to handle employees from all walks of life. You are expected to be a conceptual thinker with superb organisational and time management skills. You must be reliable and accurately follow instructions with the ability to multitask and acclimatize in a fast paced working environment.



To ensure success and as part of the regular job duties and tasks, a human resource assistant may perform some or all of the following:

  • Handle part time and covering staff recruitment, onboarding, payroll matters and liaising with candidates.
  • Maintain up to date HR employee’s records into the HRIS system and the internal HR system (Engage) as and when required.
  • Coordinate and arrange professional training (IB, PYP, MYP etc) for all the employees.
  • Liaise with third party vendors (travel agents, course providers etc) on payment processing, reservation of courses and act as the first point of contact.
  • Ensure that all professional development application forms and review forms have been duly approved and all required details have been completed.
  • Assist and process all employees claims reimbursement and vendor payments.
  • Check the annual flight and repatriation flight locations and budget for the expatriates. Consolidate and provide up to date costs as accurately as possible.
  • Review, update and maintain proper filing of insurance policy, medical claims, daily invoices, Company medical provider list (obtained from the Medical Insurance provider), attendance on calendar together with master list, training schedules, training records, important documents and leave records.
  • Inform insurer on the new hirer and leaver namelist, update MOM, Engage and all relevant government portals, internal and external system on the employee’s details.
  • Application & renewal of employment pass, dependent pass and all related work passes for employees and family.
  • Involvement in whole school events and activities as required.
  • To perform any other duties as assigned by the management, stakeholders and line manager



I always like to start the day with a nice cup of tea, but immediately after finishing my tea I will be checking on the daily absence email to check who is absent today. I will then record the staff’s attendance to ensure that the staff has applied for leave in the e-leave system. I will then follow up with the recruitment and onboarding arrangement for covering candidates which includes informing the candidate to complete an employment application form, conduct background checks, ensuring all paperwork has been completed and entering the candidate's personal details into our Engage system. Well, it happens that today is also the payroll processing day for the covering staff and I will need to calculate the payment, making sure that their payment is made on time. In the afternoon, I will be coordinating and arranging the professional development training for our staff, liaising with vendors and course providers to ensure that all the arrangements have been properly settled. Towards the end of the day, around 3pm, I will usually check on the government regulatories on the CareersFuture for renewal of the job adverts. I am also required to check with MOM on the employment pass, relevant work pass renewal/expiry. Once I have completed the government regulatories processes, I will look into the staff’s claim to ensure that all claims and payments have been properly signed off by the respective head of department and the HR Manager.



  • Minimum Diploma in Business Management, Human Resource Management, General Business Studies and equivalent.
  • Engage, SAP, Microsoft, Google, Powerpoint skills knowledge.
  • Comfortable with data analytics and a flair for numbers
  • Meticulous and proactive
