JOB DESCRIPTION

Rental Management Executive is responsible to perform all related paperwork, data report and data management as and when required. Ensure a proper clean, safe and hygiene school environment to the functionality of school. Strong organisational and management skills with high accuracy to look into the details.

ROLES AND RESPONSIBILITIES

  • Source, contact and maintain a healthy revenue stream with new clients via, but not limited to, renting out of Nexus’ facilities, promoting subscriptions, desks and spaces of the co-working space Nex2Us.

  • Manage, provide regular updates to internal stakeholders and draw up a plan on how to close the financial gap.

  • Manage and see through the rental of Nexus International School (Singapore)’s facilities such as, but not exclusive to, Auditorium, Multi-Purpose Room (MPR), Football Field, Sports Halls, Swimming Pools, Science Lab and Classrooms.

  • Have an understanding of the current financial status, how charges are calculated (chemical usage, clean up fee, set up fee, AV technician fee etc) and gaps that need to be closed. 

  • Have an understanding of how budgeting works and participate in monthly management reports as and when required.

  • To attract and retain business, this role will ensure the optimal use of Nexus International School (Singapore)’s facilities, with an aim to efficiently manage facility scheduling (i.e. facilities calendar management), in coordination with both internal and external stakeholders.

  • Compliance with government rules and regulations (e.g. Enhanced Registration Framework (ERF)).

  • Coordinate canteen operations, including facilitating vendor meetings and acting as a liaison between vendors and internal stakeholders. 

  • Respond and follow-up on rental inquiries in a timely, professional and proactive manner. This includes conversing effectively via telephone calls and/or corresponding via emails.

  • Organise tours and conduct site inspections where and whenever necessary, for prospective renters.

  • Schedule meetings with internal stakeholders and potential renters prior to their rental.

  • Draw up and verify documentations/contracts/subscriptions, organise timely billing and that Nexus policies and procedures are followed.

  • Liaise with internal and external parties in ensuring the security team and with renters for providing the details of visitors (personal particular and vehicle number) prior to their rental.

  • Liaise with various departments to ensure all facilities are in tip top condition, for example but not limited to, stocked with necessary supplies, spaces and rooms are in optimal working condition, clean and safe.

  • Ensure renters comply with the safety regulations and safety measures.

  • Work with the marketing department to execute on community events (including events happening on weekends). 

  • Be onsite to support internal/external events/activities where and when is required.

  • Any other duties assigned from time to time.

 

 QUALIFICATIONS AND SKILLS

  • High organisational skills a must.

  • Excellent interpersonal and communications skills are a must.

  • Ability to multitask, work independently, and coordinate across departments effectively.

  • Minimum 1 year of administrative working experience is preferred. Candidates without experience but are willing to learn may be considered.

  • Minimum Higher College education/Degree/Diploma and or Certificate in Business /Certificate in facilities management or relevant certificates is a plus.

  • Knowledge in Pivot table.

  • Knowledge in Google Workspace (e.g. Gmail, Google Sheets and Docs).

  • Knowledge in document processing and bookkeeping.

  • Knowledge in basic procurement such as PR, PO, DO and invoice.
