JOB DESCRIPTION
The Learner Services Executive / Senior Executive is the initial point of contact for learners and parents on all academic and learner services queries and requests. Our Learner Services Executive / Senior Executive is responsible for the day-to-day management of administrative functions to assist in the delivery of a wide variety of learner services. The Learner Services Executive / Senior Executive works closely with Admissions. As the Learner Services Senior Executive, you will be required to submit a monthly report, support the Director of Learners' Acquisition with the coaching of Executive and part timers. 


ROLE AND RESPONSIBILITIES
● Act as a first point of contact for prospective and existing learners, handling learners and parents enquiries and requests via phone, email or in person in a courteous, respectful, professional and confidential manner
● Manage and maintain learner files and computer based records, ensuring they are up to date and that it contains all relevant documentation
● Maintain and monitor class attendance records and coordinate all relevant reports
● Handle, coordinate and monitor stakeholders complaints, feedback and grievances, in a sensitive and timely fashion
● Manage/Coordinate/Provide support for extracurricular activities (clubs, trips, etc), Open Day, New Learners Orientation and Parents Meeting
● Facilitate documentation processing for current, transfer and former learners
● Process learner withdrawing requests
● Coordinating with external vendors (like bus, canteen, extra curricular activities providers) on the parents requests, feedback and school requirements
● Conduct general office duties
● Provide assistance to other relevant function areas as needed
● Involvement in whole school events and activities as require

● To perform any other duties as assigned by the management, stakeholders and reporting manager/link 

 

SENIOR EXECUTIVE
● Ensure that the information in the CRM system pertaining to English as Additional Language (EAL) is kept current and accurate, aligning it with the updates provided by the EAL team and addressing any inconsistencies.
● Conduct follow-ups with families who are withdrawing to gain insights into how we could have better met their needs or if there were any actions we could have taken differently.
● Establish and maintain a systematic monitoring system for parental inquiries and requests. These should be redirected to the relevant departments when learner services are unable to provide solutions.
● Provide training to new staff members when needed to ensure they are well-prepared for their roles.
● Act as a liaison between the school and the cafeteria and bus company to facilitate smooth operations and communication.
● Responsible for the distribution of contracts and addendums for both current and re-enrolled learners as and when required.
● Apply for Student Pass Visa for new and renewals for current students.
● Apply for Ministry of Education (MOE) exemptions and monitor current MOE exceptions to ensure we are compliant with Committee of Private Education(CPE) regulations.


QUALIFICATIONS AND SKILLS
● Resourceful, calm, patient and proactive when issues arise
● Strong customer service skills
● Knowledge of administrative and clerical procedures
● Multitasking and time-management skills, with the ability to prioritize tasks
● Willingness to learn and expand skills
● Confident in the use wide range of technology and platforms to support procedures
● A strong command of the English language, both written and verbal
● Bachelor degree qualification and experience in an international school environment are advantages
● At least three (3) years of relevant working experience
