Admissions Executive

JOB PURPOSE

 

The Admissions Executive is responsible for attending to admission inquiries from potential parents, provides guidance and support to new parents throughout their child’s enrolment at the school. The Executive - Admissions is required to undertake relevant administrative tasks related to the admission of a new student. 

 

Key Results / Responsibilities 

 

  1. Government Relation (Immigration Department/Ministry of Education)

  • AISM liaison of all Government departments relating to visas, student pass, and school data.

  • Prepare all relevant documents for new and existing parents pertaining to student pass application or renewal.

  • Ensure all Immigration matters are updated in the school student data management system.

  • Ensure all relevant students pass, visas are renewed on time.

  • Ensure that the student database in SMIPS (Sistem Maklumat Pendidikan Swasta), under the Ministry of Education, is updated every quarterly.

 

  1. Student Management

  • Handling inquiries from prospective parents through telephone, e-mail, and walk-in.

  • Provide information to potential parents and advising them of the entry requirements and admissions procedures.

  • Schedule appointments for parents to visit the school and conduct school tours.

  • Process incoming applications which include input and update of all inquiry details onto the school student data management system, organize admissions assessments and interview, liaise with respective Head of School on students’ application outcome and to communicate the outcome of applications to parent in a timely manner.

  • Assist in connecting parents to the various service departments, including the Online Uniform Shop, Bussing, Finance, etc.

  • Follow up with new parents on outstanding documents, payments and all other matters related to admissions.

  • Assist in processing students’ withdrawal procedures and notifications.

  • Help to collate relevant data relating to admissions inquiries, attritions, and other management information.

  • Assist the Admissions Manager to produce management reports.

  • Ensure that excellent customer service is provided at all times to students, parents and other stakeholders in line with an Awesome Customer Experience (ACE). 

 

  1. Student Recruitment Agents

  • Liaise with various agents to promote the school including conducting training sessions for agents together with Head of Admissions

  • Handle agent enquiries and enrolment

  • Prepare new/renewal  agent contract 

  • Conduct agent performance evaluation 

  • Coordinates all communication between the school and the agents. 

 

Job Specifications 

1. Minimum Academic / Professional Qualification

  • Candidate must possess at least a Bachelor’s Degree level or above in relevant discipline. 

2. Related Experience

  • Minimum 2-3 years of relevant working experience, preferably in the education industry or hospitality industry with involvement in customer relations or equivalent.

  • Experience working in a school environment is an added advantage.

3. Competencies (Knowledge, Skills & Abilities)

  • Outstanding skills in word processing, google sheet/excel and spreadsheets and basic familiarity with database software tools.

  • Spoken and written English is used for all School communications and as such, high standards of English communication skills in reading, writing, speaking, and listening are required to be successful in this position.

  • Ability to speak Mandarin will be an advantage

  • Knowledge of other languages such as Japanese or Korean is an added advantage.

  • Possess good planning, organizing, coordinating and time management skills.

  • Commitment to maintaining confidentiality.

  • Ability to work beyond normal working hours when needed.

 

4. Competencies (Behavioural)

  • Good communication and relationship with stakeholders (internal and external) establish and maintain 

  • Good relationship building with students/parents/guardians and prospects.

  • Commitment to follow AISM Policies and procedures.

  • Strong cross-cultural, interpersonal and communication skills are necessary to present the school in a positive way to diverse nationalities and cultures.
